Automatic setup - Outlook2003/2007

Our Outlook Auto Setup Tool will automatically create a new Outlook profile for your Exchange hosting mailbox. If you have other email accounts configured in your current profile you will need to move them to the new profile manually.

The Setup tool will not create your mailbox on the Exchange Server. If you are unsure whether your mailbox has been created, please contact your company administrator.

No existing data will be lost during this setup.

If you are not running on Outlook 2003/2007, we recommend upgrading your version of the software before setting up Hosted Exchange.

To setup Outlook: 

  1. Close Microsoft Outlook.
  2. Download and run the pre-setup software:

     

  3. Click Setup.

  4. The Outlook Setup tool will select the setting which is most appropriate for your client. Please do not change this unless you are advised to do so by your administrator or support personnel.

  5. You will see the following information box:



    Click OK.
  6. The login window will come up and prompt you to login. Enter your full email address and password:
    MAIL007.mail.lan
    MAIL007.mail.lan
    <your e-mail address - e.g. YourName@YourDomain.com>

    Click OK.
  7. Click Finish.
    NOTE:
    This window may be hidden behind the Outlook window.

  8. Outlook will open automatically. If you have multiple profiles you will be prompted to select a profile. The profile name will be in the following format: "Exchange Hosting <your e-mail address - e.g. YourName@YourDomain.com> ". Select the profile and click OK.

  9. You will be asked to login again, please do so.
  10. If the Setup Tool encounters a problem while creating your Exchange profile a window will come up with the error message "Your Microsoft Exchange Server is Unavailable."; please click Retry.
  11. You are now ready to use Outlook. Each time you start Outlook you will be prompted to log on with your username and password.
  
Manual setup - outlook 2003/2007

Outlook 2003

  1. Close Outlook.
  2. Download and run the pre-setup software. Select “Update host file setting and Outlook plug-in only”.
  3. Go to Start > Control Panel > Mail. If you do not have the Mail icon, click on "Show Classic View" on the top left and the icon will now appear.
  4. Click E-mail Accounts > Add a new e-mail account >Next.
  5. Select Microsoft Exchange Server; click Next.
  6. Exchange Server Settings:
    a. Microsoft Exchange Server: ("Exchange Server" e.g.: "MAIL001" or "BE001". Do not add ".mail.lan"! )
    b. Use Cached Exchange Mode: leave this box checked
    c. User Name: <your e-mail address - e.g. YourName@YourDomain.com>
    d. Click on More Settings
    e. After 30-90 seconds, it may time out and you may get a message similar to this: Outlook could not log on. OR The action could not be completed. The connection to the Microsoft Exchange Server is unavailable. Outlook must be online or connected to complete this action. This is an expected message - click OK. If a new window opens that asks for "Microsoft Exchange Server" and "Mailbox", click Cancel.
  7. Microsoft Exchange Server: A new window will open, which has 5 tabs starting with "General"
    a. Click the Advanced tab.
    b. Check “Use Cached Exchange Mode”.
    c. Check “Download Public Folder Favorites”.
    d. Click Apply.
    e. Click the Connection tab.
    f. Check “Connect to my Exchange mailbox using HTTP”.
    g. Click Exchange Proxy Settings.
  8. Exchange Proxy Settings:
    a. https://rpc.MyOutlookOnline.com.
    b. Check “Connect using SSL only.
    c. Check “Mutually authenticate the session when connection with SSL”.
    d. Enter msstd:rpc.MyOutlookOnline.com for the “Principal name for proxy server”.
    f. Check “On fast networks, connect using HTTP first, then connect using TCP/IP”.
    g. Check “On slow networks, connect using HTTP first, then connect using TCP/IP”.
    h. Select Basic Authentication from the drop-down menu.
  9. Click OK.
  10. Click OK.
  11. Exchange Server Settings:
    Click Check Name - this may take 30-90 seconds.
  12. Connect to <Exchange Server Name> window pops up:
    a. User name: <your e-mail address - e.g. YourName@YourDomain.com>
    b. Password: <your password>
    c. The server name and user name should now be underlined. If not, double-check both in your welcome e-mail and that you have internet connectivity
    d. Click Next. You will get the "Connect to mail001" window again - use the same info as above.
  13. If you had already setup Outlook to receive mail using a Personal Folder on your laptop, the system will warn you that mail from Exchange Server will be delivered to the Personal Folder and ask if you want to continue. Click Yes.
  14. Click Finish.
  15. Go to Tools > E-mail accounts > View or change existing e-mail accounts > Next.
  16. At the bottom of the window, you will see "Deliver new e-mail to the following location". Make sure that this is set to Mailbox - Name. Do not set it to Personal Folder, or your mail will be removed from the server and it will only be kept on your computer.
  17. Click Finish.
  18. Click OK.

Every time you start Outlook, you will be prompted to logon with your username & password.

Outlook 2007

  1. Close Outlook.
  2. Download and run the pre-setup software. Select "Open" or "Run". Follow the prompts to finish the setup. Make sure that the "Use VPN" checkbox is not checked.
  3. Go to Start > Control Panel > Mail icon. If you do not have this icon, click "Classic View" on the top left and the Mail icon will now appear in the list.
  4. Go to the General tab and click Add. Enter a Profile Name and click OK.
  5. Check the box to manually configure server settings; click Next.
  6. Select "Microsoft Exchange" as the E-mail Service; click Next.
  7. E-Mail Accounts: Microsoft Exchange Server Settings:
    a. Microsoft Exchange Server: ("Exchange Server" - from A-4 above, e.g.: "MAIL001" or "BE001". Do not add ".mail.lan"! )
    b. Check "Use Cached Exchange Mode".
    c. User Name: <your e-mail address - e.g. YourName@YourDomain.com>
    d. Click More Settings.
    e. After 30-90 seconds you may get a message similar to: Outlook could not log on. OR The action could not be completed. The connection to the Microsoft Exchange Server is unavailable. Outlook must be online or connected to complete this action. This is an expected message - click OK.
    If a new window will open, which asks for "Microsoft Exchange Server" and "Mailbox". Click on the Cancel button
  8. Microsoft Exchange Server: A new window will open, which has 5 tabs starting with "General"
    a. Click the Advanced tab

    d. Enter : msstd:rpc.MyOutlookOnline.com as the principal name for proxy server.
    e. Check "On fast networks, connect using HTTP first, then connect using TCP/IP".
    f. Check "On slow networks, connect using HTTP first, then connect using TCP/IP".
    g. Use "Basic Authentication" when connecting to my proxy server for Exchange.
  10. Click OK.
  11. Click OK.
  12. E-Mail Accounts: Exchange Server Settings:
    Click on Check Name - this may take 30-90 seconds.
  13. Connect to <Exchange Server Name> window pops up:
    a. User name: <your e-mail address - e.g. YourName@YourDomain.com>
    b. Password: <your password>

  14. Click Next. You will get the "Connect to mail001" window again - use the same info as above.
